How to manage tasks

Add tasks to a job, give them to your team or subcontractors, track them across every job and tick them off with a photo.

Tasks are what needs doing on a job, who's doing it and by when. Each project has its own list, and one page shows the tasks from every job together.

See every task across your jobs

  1. Click Projects in the sidebar.

  2. Click Tasks in the Projects menu on the left.

Anything overdue shows in red. Use the All and Overdue tabs, or narrow the list with the filters:

  • Status: To do, In progress or Done.

  • Priority: Urgent, High, Medium, Low or No priority.

  • Deadline: Due today, Next 7 days or No deadline.

  • Assignee: Me, Unassigned, someone on your team or a subcontractor.

Click Clear to remove the filters, or search with Search tasks….

Add a task to a job

  1. Open the project and click Tasks in its menu. You can also click Add a task on the project's overview.

  2. Click New task.

  3. Type what needs doing.

  4. Click Due date and pick when it's due.

  5. Click the assignee and pick who's doing it: someone on your team, or one of the project's subcontractors. A new task is yours unless you pick someone else.

  6. Click More for the extras:

    • Priority: how urgent it is.

    • Attach photos or documents: link the drawing or photos they'll need from the project's files.

    • Doesn't need anyone on site: for desk work, so the schedule won't flag it when nobody's booked.

  7. Click Create task.

Tick Add another before you click Create task to keep the box open for the next one.

On the all-jobs Tasks page, the new task also asks which project it's for.

Open a task for the detail

Click a task to open it. From here you can:

  • Change its Status, Assignee, Priority, Start, Deadline or Project.

  • Add a description.

  • Attach photos or documents.

  • Build a Checklist: type in Add checklist item for each step, and tick them off as they're done.

  • Leave Comments. Type @ to mention someone, and they're told.

If the task has someone on it and a date, it tells you whether they're booked on site that day. If they aren't, you'll see who isn't booked and when, with Book them to book them there and then, or Not needed on site if it's desk work.

Tick a task off

Tick the box beside a task to mark it done. Buildscout asks Add a photo as evidence? Click Add photo to pick or take one: it's attached to the task and kept in the project's Photos. Click Not now to skip it. The task is done either way.

Edit or delete a task

Click … on a task and choose Edit, Add checklist item or Delete task. Deleting a task can't be undone.

Why can't I add or tick off tasks on this project?

The project is complete. A complete project's tasks can be read but not changed until it's reopened: This project is complete, so nothing on it can change until it's reopened. Reopen it from the bar at the top of the project.

Why can't I attach files to a task?

Files belong to a project. On the all-jobs Tasks page, choose a project for the task first. Attach photos or documents says Choose a project first until you do.

Why does it ask to add someone to the project?

Within a project, only that project's subcontractors can hold its tasks. If you pick a subcontractor from your other projects, Buildscout says they aren't on this project yet. Click Add to project to add them (they're invited as usual), or Back to pick someone else. To give a task to someone you've never worked with, choose Add someone new to this project.

Why is there no comments section on a task?

Comments belong to a project's conversation, so a task needs to be on a project to have them.
