How to set up your stages and tags

Set the stages every lead board uses, which ones count as won or lost, who's told when leads move, and the tags your team marks leads with.

Your stages are the columns on every lead board, left to right: on All leads, on each campaign and in each folder. Your tags are the labels your team puts on leads. Set them up once in Settings → Lead board, and every board follows.

Open the lead board settings

  1. Click Settings in the sidebar.

  2. Click Lead board.

The page has three parts: Stages, Automations and Tags.

Add a stage

  1. At the bottom of Stages, type the stage's name, such as "Site visit booked".

  2. Click Add stage.

The new stage goes at the end.

Put the stages in order

Drag a stage up or down by its handle, on the left of its row. New leads always start in the first stage, which says New leads start here.

Rename a stage or change its colour

  • Rename: click the stage's name, type the new one, and press Enter.

  • Colour: click the dot beside the name and pick a colour.

Mark which stages count as won or lost

Beside each stage, pick In progress, Won or Lost. Leads in a won or lost stage count towards your win rate. Moving a lead into a won stage offers to make it a project, and moving one into a lost stage asks why it was lost.

Choose who's told when leads move

  1. Click … at the end of the stage's row.

  2. Click Notify when leads move in or Notify when leads move out.

  3. Tick the teammates who should be told.

Delete a stage

  1. Click … at the end of the stage's row.

  2. Click Delete stage.

Automations

Under Automations, click Add automation to choose something that happens every time a lead moves into a stage: Ask to log a reply or Assign to a team member. The won and lost prompts are listed there too, marked Built in. How to use the lead board explains what each one does.

Add and change tags

Further down, under Tags:

  • Add: type the tag's name, such as "Worth a visit", and click Add tag. It's ready to pick on any lead.

  • Rename: click the tag's name and type the new one.

  • Colour: click the dot beside it and pick a colour.

  • Delete: click the bin icon at the end of its row.

Each tag says how many leads it's On, or Not used yet. A change here shows on every lead with that tag. Tags someone types straight onto a lead turn up here too.

Why can't I delete a stage?

  • If it says Leads need at least one stage, it's your only stage. Add another first.

  • If you see Move leads before deleting, there are leads in the stage. Move them to another stage on the board, then delete it.

What happens when I delete a tag?

If the tag is on any leads, Buildscout asks first. Click Delete tag and it comes off every lead it's on. This can't be undone. Click Keep it to leave it.

Why can't I add a stage or tag with that name?

Each stage and each tag needs a different name, whatever the capitals or spaces. If the name is taken, it says "There's already a stage called …" or "There's already a tag called …".

Why can't I see Lead board in Settings?

The lead board comes with Campaigns and with Planning data. If your plan includes neither, Lead board isn't in Settings.

Who can change them?

Anyone on your team can change the stages, automations and tags. The changes are for the whole team.
