How to write to agents and company owners too

Send letters to an application's planning agent, company and company owners as well as the applicant, with their own letters if you like.

Every planning application has a few people you can write to. Most builders start with the applicant, but the agent who sent the application in is a good way to win repeat work, and a developer or landlord can be reached through their company.

Choose who to write to

On the campaign's Letter sequence step, under Who do you want to write to?, tick everyone you want:

  • Applicant / Homeowner: the person or company at the address the work is planned for.

  • Agent: the architect or planning consultant who submitted the application.

  • Company: companies linked to the application, at their registered address.

  • Company owner: the people who own or control those companies, from Companies House.

Company and Company owner are only offered in the UK.

Give each group its own letters

When you've ticked more than one, choose:

  • Same letters for everyone: set them up once and everyone gets them.

  • Different letters for each: each group gets a tab of its own.

With Different letters for each:

  1. Click a group's tab. A new group starts with a copy of the letters you already had.

  2. Change its letters. For agents, you might swap the first letter for one written for agents, and remove the approval letter meant for homeowners.

  3. To give a group the same letters as another, click Copy letters from… and pick the group.

Each tab shows how many letters that group gets, so you can check them at a glance.

Who gets letters when people share an address

Only one set of letters goes to an address. Where a company's office is also its owners' address, the company is written to first. The applicant gets one set too: at the site first, rather than also at an address of their own.

Why can't I tick Agent, Company or Company owner?

Writing to agents, companies and company owners is part of the Enterprise plan (Outreach in Australia). On other plans those options show the plan's name and can't be ticked, and you'll see Upgrade to unlock under them.

Why do my agent letters say they're held?

If your plan changed and no longer includes agents and company owners, a group you'd already ticked shows Not on your plan: these letters are held until you upgrade. Untick to stop them. Their letters wait rather than being sent. Upgrade to send them, or untick the group to stop them.

Why did switching back to the same letters ask me first?

Going back to Same letters for everyone gives every group the letters of the tab you have open. If other groups have letters of their own, you're asked first, because theirs will be replaced. Click Keep different letters to keep them.
