How to choose auto-send or check each lead first

Decide whether a campaign's letters go out by themselves or wait for you to approve each lead, and when unsent letters are cancelled.

A campaign can post its letters to every lead it finds, or hold each new lead until you've checked it. You choose on the Letter sequence step, under Before letters go out. You can switch between them at any time.

Choose how letters go out

  1. Open the campaign's Letter sequence step.

  2. Under Before letters go out, choose:

    • Send automatically: every lead that matches gets your letters, so none are missed while you're busy.

    • Let me check each lead first: new leads wait in Review leads, and nothing is posted until you approve it.

  3. On a running campaign, click Save changes.

A new campaign starts on Let me check each lead first. For a first campaign, that's a good way to see what it finds.

Write to the last 90 days' leads too

A campaign normally starts with the planning applications that come in from then on. Switch on Also write to leads from the last 90 days to include the ones from the last 90 days as well. It tells you how many already match.

With Send automatically, their letters are scheduled when you start the campaign. With Let me check each lead first, they go to Review leads when you start it.

Set when letters are cancelled

  • Cancel unsent letters after: letters over your daily budget wait for the next day. Any still unsent after this many days are cancelled. It starts at 15 days, and can be 1 to 30.

  • Cancel unreviewed leads after: leads left in Review leads this long are cancelled, so no one gets a letter about an old application. It starts at 5 days (21 in Australia), and can be 1 to 30. If you can't check leads every few days, give yourself a week.

A manual campaign has no reviewing, so it only shows Cancel unsent letters after.

Why didn't a lead get letters on its own when auto-send is on?

Auto-send writes once to each address. It skips someone when:

  • their address is already getting letters from another campaign or lead

  • someone else at the same address is being written to, such as a company before its owners

  • their address is marked do not contact, or the lead already has a reply logged

The lead page shows the reason under the campaign.

Why did a lead disappear from Review leads?

It was left there longer than Cancel unreviewed leads after, so it was cancelled and nothing was sent. The lead shows Expired. You can still open it and send its letters after all.

Why did letters I approved never go out?

They waited past Cancel unsent letters after, usually because your daily budget was used up every day, and were cancelled. Raise your daily budget or the number of days. See "How to set your daily budget".
