How to store and share documents

Keep a job's drawings and paperwork in one place, file new versions, comment on drawings and choose who outside your team sees each file.

Every project has its own Documents: the drawings, contracts, specs and certificates for the job. Buildscout reads each file as it's added and labels what kind of document it is, so the latest drawing is always easy to find.

Add documents

  1. Open the project and click Documents in its menu.

  2. Click Add document at the top right, and pick the files. You can also drag files onto the page.

You can add PDF, Word, Excel, PowerPoint, CSV and CAD (DWG, DXF) files, up to 25MB each. Each document shows its Type, who it's Shared with, its Version, Size and when it was Added.

Keep them tidy with folders

  1. Click New folder, type a name and click Make folder.

  2. Drag a document onto the folder to move it there. Or open a document's … menu, choose Move to folder and pick the folder.

Click a folder to open it. Anything you add while it's open goes into it. To take a document out, drag it onto Documents at the top. A document is in one folder at most.

To rename or delete a folder, use its … menu. Deleting a folder doesn't delete its documents: they move back to Documents.

Add a new version of a drawing

When you add a document of the same type as one the project already has, Buildscout asks Is this a new version?

  1. Pick New version of the document it replaces, or No, keep it as a separate document.

  2. Click Confirm.

A new version replaces the old one in the list, and earlier versions stay available. You can also open a document and click New version, or choose Upload new version from its … menu.

To see an earlier version, open the document and pick it from Version 2 of 3 (or similar) beside its name. While you're looking at an earlier version, a banner says so, with View current to go back.

Comment on a drawing

  1. Click a document to open it.

  2. Click the spot on the page you want to talk about, or drag a box around an area.

  3. Type your comment. Type @ to mention someone, and they're told.

  4. Click Comment.

The comment is pinned to that spot with a number, and listed under Comments beside the document with the same number. Press Escape to drop a pin before you've commented.

Choose who outside your team sees a file

Your own team always sees every file on the project. To share a file with subcontractors:

  1. Click the file's Shared with entry, or choose Share… from its … menu.

  2. Pick one:

    • Only my team: no subcontractor can see it. Every file starts here.

    • Everyone on this project: every subcontractor on the job, including anyone added later.

    • Only the people I choose: tick the subcontractors who should see it.

  3. Click Save.

Star the ones you need most

Click the star beside a document to pin it to the project's overview. Starred documents are listed first under Documents on the overview, and under the Starred tab here.

Rename, change the type, download or delete

Use the document's … menu: Rename, Change type, Download or Delete. On a document with several versions, Delete this version deletes just the one that's open.

Why can't I add any more documents?

A project holds up to 50 documents: You can add up to 50 documents per project. New versions of a document don't count towards this. Delete documents you don't need, or add the file as a new version of the one it replaces.

Why was my file refused?

  • The file type isn't one Buildscout takes. Upload a PDF, Word, Excel, PowerPoint, CSV or CAD (DWG, DXF) file.

  • It's over 25MB, or empty.

Why can't I pin a comment on this document?

Pins can go on documents shown as pages, such as PDFs. A file Buildscout can't show as pages takes ordinary comments only.

Why can't I share with particular people?

Only the people I choose needs subcontractors on the project. If there are none, it says Nobody is on this project yet. Click Add subcontractors to add them first.

Why can't I change anything here?

The project is complete. Its documents can be read and downloaded, but not added to, shared or changed until it's reopened.
