An auto export runs one of your saved searches for you, daily, weekly or monthly, and sends you the leads it finds. It can email a spreadsheet (a CSV) to people on your team, add the leads to a folder, or both. Use it for the searches you'd otherwise run every week.
Auto export comes with Enterprise.
Turn on an auto export
Click Planning data in the sidebar.
Save your search, or open one under Saved searches. See How to save and reuse searches.
Beside the search's name at the top of the page, click Auto-export: off.
Under Send new leads, tick Email a CSV, Into a folder, or both:
Email a CSV: pick who gets it. Click Choose columns to pick what goes in the spreadsheet.
Into a folder: pick the folder, and who to assign the new leads to, if anyone. They're told each time a run adds leads.
Under How often, choose Daily, Weekly or Monthly. A weekly one runs on the day you pick under On; a monthly one runs on the 1st.
Under At, choose the time it runs.
Under Which leads each time, choose New since the last run, or the search's own dates.
Click Turn on.
The chip beside the search's name now says when it runs and where the leads go, for example "Mondays at 07:00 ยท CSV to you". Next run says when it will run next.
Which leads each time
New since the last run takes the leads it hasn't sent before. Councils publish some applications late, so later runs look further back each time, up to 2 months past the search's dates. This is the one to pick if you're not sure.
The search's dates takes everything the search finds each time, such as its "Last 30 days". A line under the choice says how that lines up with how often it runs: whether leads could be missed between runs, or repeated in each spreadsheet. A folder never gets the same lead twice.
See and change your auto exports
In Settings, click Auto exports. Each saved search that runs itself is listed, with when it runs next and when it last ran.
Click Edit to change where its leads go or when it runs, then Save.
Click Turn off in the same window to stop it.
Click Open search to open the saved search in Planning data. To change what it searches for, change the saved search there and click Save changes. The auto export follows the saved search.
Every spreadsheet an auto export emails is also kept in Settings โ Exports, named "Auto export" and the search's name.
Why my auto export says Paused
Auto export comes with Enterprise. On another plan, the auto exports you set up before are paused and don't run until your plan has it. You can still turn them off. Click Contact us to ask our team about Enterprise.
On another plan you can open the auto export settings to see how it works, but you can't turn one on.
Why I didn't get an email
The run found nothing new. A run that finds no leads tells no one.
You're not picked. Only the team members ticked under Email a CSV get the spreadsheet. Someone who has left the team gets nothing.
It hasn't run yet. Runs are checked every half hour, so one can arrive up to half an hour after its time.
The link has run out. The download link in the email works for 7 days. After that, download the file from Settings โ Exports.
Why Turn on is greyed out
The search has fixed dates and you chose the search's dates: every run would find the same leads. Pick New since the last run.
Nobody is picked to get the email, or no folder is picked.
Your plan doesn't have auto export.
Why Auto-export is greyed out beside the search
An auto export belongs to a saved search. Save the search, or open a saved one, and the chip turns on.
What time it runs
An auto export runs on the clock of the browser that set it up. If yours is somewhere else, Buildscout says whose clock its time is on, and shows Next run in your own time.
How many leads it sends
Each run sends up to 2,000 leads. If you delete the saved search, its auto export is deleted with it.
