How to make tasks from a document with AI

Turn a document such as a building control approval into tasks, and let Auto organise suggest a folder for every file.

Buildscout can read a document for you and list the work in it as tasks: a schedule of works line by line, or a building control approval's conditions, inspections and the certificates its sign-off needs. You check every task before it's added. Auto organise does the filing: it suggests a folder for each document.

Make tasks from a document

  1. Open the project, click Documents in its menu, and click the document.

  2. Beside the document, under Tasks, click Make tasks.

  3. Buildscout reads the document. A long one can take a minute.

  4. Check the suggested tasks. Each is given to whoever's work it is, with a deadline where the document gives one and a checklist where it needs one. Change anything in the table (who, when, the status or priority), click a task to edit its name, description or checklist, or click the bin to leave it out.

  5. Click Add tasks (it shows how many, such as Add 6 tasks).

The tasks are added to the job, linked to the document, and listed beside it under Tasks.

If the project already has an open task for something the document asks for, it's left out and listed under Already a task on this project, so left out. Click Add anyway to add it all the same.

Turn on Auto organise

  1. On the project's Documents page, switch on Auto organise.

  2. If there are documents not in a folder yet, Buildscout asks Do you want to organise all files currently in your project?

    • Organise all files: suggest a folder for every document that isn't in one, as well as new ones.

    • Just new documents: only suggest folders for documents added from now on.

Suggestions appear above the documents: Auto organise suggests folders for each document. A folder that doesn't exist yet is marked (new folder). Click Move to move one, Move all to move them all, or the cross to leave a document where it is.

Why does it say Nothing in this document needs doing?

Buildscout didn't find any work in the document to turn into tasks.

Why couldn't the document be read?

If Buildscout couldn't read the document, it says why. Click Try again.

Why does Make tasks offer me a plan?

Making tasks from documents comes with every plan. If your plan has ended, Make tasks explains what it does and offers the Projects plan instead of reading the document. Auto organise is the same: Folder suggestions for new documents come with every plan.

Why isn't Make tasks there?

Make tasks is only on documents, not photos, and only on an open project. A complete project takes no new tasks until it's reopened.
