How to add and organise site photos

Add a job's site photos, sort them by room and category, find them by what's in them, and share the right ones.

Every project has its own Photos, sorted by the room they're in or the category of photo, such as Progress or Snag. Buildscout describes each photo, so you can find it later by searching for what's in it.

Add a photo

  1. Open the project and click Photos in its menu.

  2. Click Add photo at the top right, and pick one or more photos. You can also drag them onto the page, or onto a room's group to add them to that room.

  3. In Add photo details, give it a Name, such as "Kitchen before".

  4. Choose the Room it's in and the Category it shows. Pick from the list, or type a new one.

  5. Add a Description, or leave it blank and Buildscout describes it for you.

  6. Click Save details.

You can fill in the details while the photos upload. Photos can be PNG, JPG, GIF or WEBP, up to 25MB each.

Sort and find photos

  • Group by: show the photos by Room, by Category, or not grouped (Nothing).

  • Filter: show only some rooms or categories. Click Clear filters to show them all again.

  • Search names, rooms or descriptions…: find a photo by what's in it, for example "consumer unit".

  • Starred: the photos you've starred.

To set the room or category of several photos at once, click Select, pick the photos, then click Set room or Set category.

Open a photo

Click a photo to see it large, with the description Buildscout wrote. The description is what makes your photos searchable. Click the edit button to change it, or ask for a new one with AI.

Use the arrows (or the left and right keys) to step through the photos.

Pin a comment on a photo

  1. Open the photo.

  2. Click the spot you want to talk about, or drag a box around an area.

  3. Type your comment. Type @ to mention someone, and they're told.

  4. Click Comment.

Share a photo with subcontractors

Your own team always sees every photo. To share one with subcontractors, open it and click who it's Shared with, then pick Only my team, Everyone on this project or Only the people I choose, and click Save. See How to store and share documents for what each one means.

Why hasn't my photo got a description yet?

Buildscout describes photos in the background, so it shows Describing this photo… for a moment after it's added. Descriptions come with every plan; if your plan has ended, photos aren't described for you, and you can type a description yourself.

Why can't I add photos?

The project is complete. Its photos can be looked through, but not added to, filed, shared or changed until it's reopened.
