How to export leads to a spreadsheet

Download the planning applications your search finds as a CSV for Excel or Google Sheets, and find your team's exports again later.

Export your search as a CSV, a spreadsheet file that opens in Excel or Google Sheets. Buildscout prepares it in the background and emails you a link when it's ready.

Export a search

  1. Click Planning data in the sidebar and set up the search you want.

  2. At the top right of the page, click Export CSV. The window says how many leads are in the export, and how many exports you have left this week.

  3. Under File name (optional), give the file a name if you like. Leave it empty for a name Buildscout makes up.

  4. Under Columns, keep the defaults, or click Choose columns and tick the ones you want, such as Applicant email. Click Use the defaults to go back to the usual set. Buildscout remembers your columns for next time.

  5. Click Export.

You'll get an email with a Download CSV button when the file is ready. The link in the email works for a day.

Download an export again

Every export your team makes is kept, for everyone on the team to download again.

  1. In Settings, click Exports.

  2. Find the export. You can search by file, person or saved search.

  3. Click Download.

Each row says what the export was, the file's name, how many Records it holds, who exported it and when. The File column shows:

  • Download: the file is ready.

  • Preparing: Buildscout is still making it.

  • Failed: something went wrong. Try the export again. A failed export doesn't use up one of your exports for the week.

  • Expired: the file is no longer kept, so it can't be downloaded.

Why I can't export

  • Too many rows. An export holds up to 2,000 leads. If yours has more, the window says so: narrow the search, for example with a smaller area or a shorter time.

  • No exports left this week. The window says "You've used all … planning data exports for this week". The Planning data and Homeowner outreach plans include 3 exports a week, shared by every team on the same billing account. The allowance resets on Monday. Enterprise has no weekly limit.

  • Nothing to export. "No planning applications match your current filters": change your search so it finds something.

  • The name is taken. Every export in your team needs its own file name. Choose a different one, or leave it empty.

If your subscription isn't active, for example while a payment is overdue, an export holds up to 10 rows until it's sorted.

Why some columns are locked

The agent and Companies House columns, such as Agent email and the company owners, come with Enterprise. On another plan, Choose columns says so, and those columns aren't in your file.

Why a column is empty for some rows

A column is empty where the planning data doesn't have that detail for the application, for example a property value or an applicant's email.
