When someone answers your letter, log it on their lead and stop the letters still to come, so they don't get a follow-up after they've already rung you.
Every lead shows the letters you've sent to each person, which they're still due, and whether they scanned the QR code on one (QR scanned and the date).
Log a reply
Open the lead, from Saved leads, a campaign's Leads page, or the email telling you about a QR scan.
Beside the person who got in touch, click Log a reply.
Under How did they get in touch?, choose Email, Phone or Other.
Under What did they say?, choose what fits, such as Quote requested or Not interested.
Add anything worth remembering under Additional notes (optional).
Leave Stop the letters still due ticked so the follow-ups don't go. It says how many, for example "Stop the 1 letter still due".
Click Log reply.
The reply is logged on every campaign writing to that person. The lead then shows Replied, with the date, how they got in touch and your note.
Stop one campaign writing to someone
On the lead, find the campaign under the person's name and click Stop.
Under Why stop?, choose Responded and fill in their reply, or Other and type the reason.
If they've asked never to hear from you, tick Mark this address as 'do not contact'. No campaign will write to that address again.
Click Stop sending.
Letters already posted can't be recalled.
Stop every letter on a lead
At the top of the lead, click ⦠and choose Stop all letters.
Under Why stop?, choose Responded or Other.
With Other, type the reason. To stop campaigns writing about this job again, tick Also reject future letter workflows and letters for this planning application. With Responded, that happens anyway.
Click Stop all letters.
Letters not yet posted to anyone on the lead won't be sent.
Why is there no Log a reply button?
It's only shown beside someone a campaign is writing to, or has written to, and only until a reply is logged for them.
Why is Log reply greyed out?
Choose an answer under What did they say? first.
Why didn't a new campaign write to this address?
Either the address was marked do not contact, or a reply was logged on the lead, or all letters on it were stopped with future letters blocked. Campaigns skip all of these, so no one gets a letter after asking not to.
Why is there no Stop all letters in the menu?
It only shows while a campaign is still sending letters on the lead.
