How to write a progress report

Put together a PDF progress report on a job for the architect, QS or lender, drafted by AI from what's happened, and email it.

A progress report sets out the work on a job over a period, with photos and the documents that go with it, for the architect, the QS or the lender's surveyor. Buildscout can draft it for you from what's happened on the job. Each report is saved to the project's Documents as a PDF, and is never put on the client portal.

Write a report

  1. Open the project. On its Overview, click Progress report. (You can also click Progress reports on the project's Documents page.)

  2. If the project already has reports, click New report. The first time, you go straight to writing one.

  3. Pick the days it covers: From and To, or a quick pick such as Last 2 weeks, Last 4 weeks or Since the last report.

  4. Click Draft it for me. Buildscout writes it up from the photos, finished tasks, documents and walkthroughs in those days.

  5. Read it through and change anything you like. The report has a Title and five sections: Summary, Work completed, Work planned, Issues and risks and Information or decisions needed. Leave a section empty if there's nothing to say.

  6. Check the photos it picked. Add captions, take photos out, or pick others. They're printed as a numbered photo record, each with its caption and the day it was taken.

  7. Check the documents listed in the report's document register: drawings, approvals, inspection records.

  8. Click Make report.

Buildscout makes the PDF and saves it to the project's Documents. While it's being made, the report shows Making the PDF….

Download or email a report

Open Progress report on the overview again to see the project's reports.

  • Click PDF to open or download it.

  • Click Email to send it. Under To, add up to 10 email addresses, separated by commas. Add a Message (optional) if you like, then click Send report.

Make it again or remove it

Click … beside a report:

  • Make it again: make a new version of its PDF in Documents.

  • Remove from this list: take it off the list. Its PDF stays in Documents until you delete it there.

Why is there no Draft it for me button?

AI drafting comes with every plan. If your plan has ended, the report offers the Projects plan instead, and you can still write the report yourself.

Why is Make report greyed out?

Write something in the report, or add photos or documents, and check the days it covers: the From date can't be after the To date, and the To date can't be in the future.

Why does it say the PDF couldn't be made?

Something went wrong making it. Click … and choose Make it again.

Why can't I write a report on this project?

The project is complete. You can still open and email the reports it already has, but you can't make new ones until it's reopened.
