How to connect your calendar as a subcontractor

Put your bookings from every builder into Google, Outlook or Apple Calendar, show builders when you're busy, and add time off.

Connect your own calendar and your Buildscout bookings land in it as they're made, and move when they change. Buildscout also reads your calendar so builders can see when you're busy. They only ever see that you're busy, never what you're doing.

Your calendar settings are yours, across every team and every builder who books you.

Where to find it

  • On your team: click Settings, then Calendar under Personal.

  • As a subcontractor: open Calendar in your account settings.

  • Or, in Projects or the Subcontractor view, click Connect calendar in the strip at the top of the page and pick your calendar.

Connect Google or Microsoft

  1. Under Connect your calendar, click Connect Google or Connect Microsoft.

  2. Sign in to Google or Microsoft and allow Buildscout to use your calendar.

  3. You come back to the page, which says Calendar connected.

Your bookings show in a calendar called Buildscout in a minute or two.

Connect Apple iCloud

Apple doesn't let you sign in from Buildscout, so it uses an app-specific password instead of your Apple password.

  1. Go to appleid.apple.com, open Sign-In and Security, then App-Specific Passwords, and make one.

  2. On the Calendar page, click Connect Apple.

  3. Type your Apple ID and paste the App-specific password.

  4. Click Connect.

You can revoke the password at appleid.apple.com at any time.

Choose what counts

Under each connected calendar:

  • Put my bookings in this calendar puts your bookings in a calendar called Buildscout, kept up to date within minutes of any change.

  • Count all-day events as busy and Count tentative events as busy decide whether those events stop builders booking you without a warning.

Your upcoming events lists the next 14 days from your calendars, each marked Busy, Not busy or Ignored. Click Ignore on anything that shouldn't make you busy, and Count it to undo that. Only you see this list. Hover over Not busy to see why an event doesn't count.

Click Read now to read your calendar again straight away. Disconnect stops Buildscout reading it and putting your bookings in it. The Buildscout calendar stays there until you delete it.

Subscribe with a link instead

If you'd rather not connect your calendar, use Or subscribe with a link. It carries your bookings from every builder, with the site's address, the hours, who to call and any note.

  1. Click Add to Google Calendar, Add to Apple Calendar or Add to Outlook. Or click Copy and add the Subscription link to your calendar yourself.

  2. Follow your calendar's steps to subscribe.

A subscription updates more slowly than a connected calendar: Apple every 15 minutes to an hour, Outlook about every 3 hours, Google up to a day. Same-day changes always reach you as a notification as well.

Anyone with the link can see your bookings, so treat it like a password. If it's been shared with someone it shouldn't have been, click Reset link and confirm. Calendars using the old link stop updating until you add the new one.

Add time off

  1. Under Time off, click Add time off.

  2. Pick the Days. For one day, pick just the first.

  3. Under Repeat, choose Doesn't repeat, Every week or Every other week. For a repeat, you can pick an end date under Until (optional).

  4. Add a Reason (optional), and turn on Let builders see the reason if you want them to. Otherwise they just see you're busy.

  5. Click Add time off.

Builders see you're busy on those days and get a warning if they try to book you.

What can go wrong

  • You didn't give Buildscout access to your calendar, so it isn't connected. You turned down the request. Try again and allow it.

  • That took too long, or finished in a different browser. Try connecting again. Start again in the same browser and finish within 10 minutes.

  • You were signed out part-way through. Sign in and try again.

  • We couldn't connect that calendar. Try again in a minute.

  • iCloud didn't accept that Apple ID and app-specific password. Check your Apple ID, and make a new app-specific password if you need to.

  • Needs reconnecting under a calendar means Google, Microsoft or Apple stopped accepting Buildscout's access. Click Reconnect and connect it again.

  • Couldn't read it means the last read failed. Hover over it to see why, then click Read now to try again.

  • Calendars can't be connected on this deployment. Connecting isn't available. Use the subscription link instead.

Why do builders book me when I'm busy?

Builders see when you're busy, but can still book you over it after a warning. Check the event counts as Busy under Your upcoming events: all-day and tentative events only count if you've turned those switches on, and events marked free in your calendar never count.
