How to forecast, complete and archive projects

See your work laid out over the coming months, mark finished jobs complete, archive them, and keep within your plan's active projects.

The Projects page shows every open job, and the forecast lays them out over the months ahead so you can see when work is about to run thin. When a job's done, mark it complete; once it's wrapped up for good, archive it.

The Projects list

Click Projects in the sidebar. The list has three tabs:

  • Open: the jobs on now, with their Tasks, Start, Finish, Value and when they were Created.

  • Complete: the jobs you've marked complete.

  • Archived: the jobs you've archived.

See the forecast

  1. On the Projects page, switch the view at the top right from List to Forecast.

  2. Pick how far ahead to look: 6 months, 12 months or 24 months.

Each open project is a bar from its start to its finish. Above them, a bar for each week shows how many jobs you have on. A line at the top tells you how busy you are, and warns you when your work is about to drop off: from which week you'll have fewer jobs on, with "time to line up the next one".

Click a bar to open the project, or drag either end to change its dates. Projects without both a start and a finish are listed under No dates yet: click Add dates to put them on the forecast.

Mark projects complete

From the list:

  1. On the Open tab, tick the projects that are finished.

  2. Click Mark (3) as complete (with however many you ticked).

  3. Click Mark 3 complete to confirm.

From a project, click Mark complete in its Status & dates card, or Mark as complete in its … menu, then confirm.

Complete projects move to the Complete tab and come off the forecast, and the team is told.

Reopen a project

If a job needs more work after all, reopen it at any time:

  • On the Complete tab, tick it and click Reopen (1) (with however many you ticked).

  • Or open it and click Reopen in the bar across the top, or in its Status & dates card.

Archive a project

Click … on the project, in the list or at the top of its overview, and choose Archive project. It moves to the Archived tab.

Archived projects keep everything in them. To bring one back, go to the Archived tab and click Restore. It comes back as it was, open or complete, as its Restores as column shows.

Why can't I create, reopen or restore a project?

Your plan includes a set number of active projects at a time: Your plan includes 5 active projects at a time. (or however many your plan has). Only open projects count. Complete and archived projects don't, so marking a finished job complete, or archiving one, frees up room for the next.

The count is across every team on your billing account. Creating, reopening, restoring and importing projects all count towards it.

Most plans include 5 active projects at a time, and Enterprise has no limit. Whoever manages your team's billing can add more: they see Add more on the message, which adds 5 more projects open at once. If you don't manage billing, ask whoever does.

Why are some projects marked as being completed?

Your plan is moving to a smaller one. A notice on the Open tab says Your plan changes to the new plan on a date, and how many projects you didn't keep will be marked complete then. They're marked in the list. Whoever manages your billing can click Change what you keep.

Why can't I change a complete project?

A complete project can be read but not changed, so nothing gets added to a finished job by mistake. Every page of it says This project is complete. Reopen it to make changes.

Who is told when a project's status changes?

The rest of the team hears when a project is marked complete, reopened, archived or restored. Each person can turn this off under Settings → Notifications (Project status changes).
