How to choose what your receptionist asks callers

Pick the questions your receptionist asks about a caller's job, and add your own.

Once the receptionist knows what job a caller wants, it asks a few questions about it, one at a time, so you know what you're quoting for before you ring back. A caller who isn't sure can say so, and it moves on.

You need to be an admin of your team to change these.

Choose its questions

It comes with four questions, each asked unless you untick it:

  • A quick question about the job: one that fits the job, like "Is it a whole new kitchen, or more of a refresh?"

  • When they want it done

  • Drawings or planning: only for jobs that need them, like extensions and lofts.

  • Their budget: always asked last.

To change them:

  1. Click Receptionist in the sidebar, then the Settings tab.

  2. Click What it asks.

  3. Under Questions about the job, tick the ones you want it to ask.

  4. Click Save.

Add your own questions

  1. Under Your own questions, type a question as you'd ask it on the phone, like "Is there parking outside?"

  2. Click Add.

  3. Click Save.

It asks yours word for word, after the ones above and before the budget. You can add up to six. Click the cross next to one to take it away.

Callers hear your changes once you publish. See How to put your receptionist live, pause it and publish changes.

Where do I see the answers?

Open the call in Calls. The answers are under What they told us, each under your question's words. See How to read and follow up your calls.

Can it ask anything else?

The call flows we write for you also ask "How did you hear about us?", so you can see which calls your letters, website or van brought in. To ask for other details at a particular point in the call, add an Ask step to your call flow. See How to change your call flow.
