Search Planning Applications for Documentation Keywords and Save/Export Results

Use the planning search tool to find applications that mention specific keywords within documentation rather than only in the main proposal description. This guide also covers reviewing results on the map, saving the search as a preset, reloading it later, and exporting the results to CSV.

1. Set up a targeted search area 0:30

  • Open the search tool and choose a custom drawing or region/postcode search method.

  • For this example, select the Northwest area.

  • Refine the search area further if needed to narrow the results.

 

2. Apply property value and keyword filters 0:53

  • Scroll to the property value filter.

  • Set the minimum property value to nothing under 400,000.

  • Do not use the application keyword field for this search.

  • Instead, use the documentation keywords field.

  • Enter relevant terms such as:

    • solar

    • photovoltaic

  • Set the date range to the last 30 days.

  • Keep decisions open if you want to include all current applications.

  • Hide the search shape if needed, then zoom in to review the map more clearly.

  • Save the search under a clear name, such as Solar.

  • Use this when you want to reuse the same search criteria later.

Cautionary Notes

  • Ensure you are searching the documentation keywords field when the goal is to find mentions outside the main proposal description.

  • Confirm the keyword match in the document before treating an application as relevant.

  • If using a saved preset, verify the filters still match your intended search criteria after reloading.

  • Exported CSV data may include sensitive planning and agent information; handle it according to your organization’s data policies.

Tips for Efficiency

  • Use a small set of highly relevant keywords first, then expand if needed.

  • Save common searches as presets to avoid rebuilding filters each time.

  • Use the map for quick visual scanning and the results tab for faster list-based review.

  • Keyboard shortcuts like Command + F / Control + F speed up document review.

  • Narrowing by area, property value, and date range helps reduce irrelevant results and saves time.
