Performing a Reference Search, Saving Filters, Exporting Results, and Creating a Project in Fine Leads

This guide explains how to search for a planning application using a reference code in Fine Leads, review the returned application details, save the search as a preset, export the results, and add the application to a project for further tracking.

1. Open Fine Leads and start a reference search 0:02

  • Open Fine Leads and navigate to the Filters area.

  • Use this search method when you already have a planning application reference code.

  • Entering the reference code allows you to quickly locate the specific application record.

 

2. Enter the application reference code 0:25

  • In the Reference filter field, type the exact planning application reference code.

  • Confirm the code matches the application you want to find.

  • Remember that reference codes are generally unique, but different councils may use similar or duplicate formats.

 

3. Review the search results 0:52

  • After entering the reference, review the returned result on the map or satellite view.

  • Scroll to the application listing and click it to open the record.

  • If needed, use the Results view to confirm the correct application has been found.

 

4. Open the application record and review details 1:36

  • Open the application to view the full record details.

  • Review available information such as:

    • Application portal hyperlink

    • Value

    • Address

    • Status

    • EPC rating

    • Agent details

    • Location map

    • Associated documents

  • Use these details to verify the application and gather relevant information.

 

5. Save the search as a preset 2:04

  • Go to Filters and select Save Preset.

  • Enter a clear, recognizable name for the preset.

  • Click Save so the search can be reused later without re-entering the reference code.

 

6. Reload a saved preset when needed 2:18

  • To return to the saved search, go to the top right-hand side of the screen.

  • Select Load Preset.

  • Choose the preset you previously saved to reopen the same search quickly.

 

7. Export the application data to CSV 2:30

  • Select Export CSV to download the application information.

  • Name the export file appropriately.

  • Click Export to send the file to your email for later access and review.

 

8. Create a project from the application 2:50

  • Open the specific application record.

  • Click Create Project in the top right-hand corner.

  • Enter a project name and any required details.

  • Click Create to add the application to your Projects section for further work.

Cautionary Notes

  • Reference codes may vary by council: Some councils may use similar or duplicate reference formats, so confirm you are reviewing the correct application.

  • Verify the result before saving or exporting: Make sure the application record matches the intended lead or project before taking further action.

  • Check email delivery for exports: CSV exports are sent by email, so allow time for delivery and confirm the message is received.

  • Use clear preset and project names: Poor naming can make it difficult to find searches and projects later.

Tips for Efficiency

  • Save frequently used reference searches as presets to avoid repeating the same filter setup.

  • Use the Results view to quickly confirm the correct application before opening it.

  • Export to CSV when you need to share or archive the application data outside Fine Leads.

  • Create a project immediately after confirming the application to keep tracking organized and reduce missed follow-up steps.
