How to book people on the schedule

Book your team and your subcontractors onto jobs for whole days or part of a day, then move, change or cancel their bookings.

A booking says someone will be on a job's site on certain days. Book your own team and your subcontractors the same way, and each of them is told where to be.

Open the Schedule

  1. Click Projects in the sidebar.

  2. Click Schedule. To see one job only, open the project and click Schedule in its menu instead.

  3. Make sure People is picked beside the page title.

Everyone you can book has a row: your team under Team, then the subcontractors on the projects shown under Subcontractors. Use Search people… to find someone by name or trade.

Book someone

  1. Drag across a person's row over the days you want them. To book a single day, click that day on their row.

  2. In the form that opens, pick the Project. On a project's own schedule it's already filled in.

  3. Under When, choose Whole days or Part of the day. A whole day is your team's working day, shown under the choice.

  4. Check the dates, and add a Note for them (optional) if it helps.

  5. Click Book.

The booking shows on the Schedule straight away. You can also click Add, then Book someone, and pick who with Choose someone. Click Add someone to book a whole crew together.

Book part of a day

  1. In the booking form, click Part of the day.

  2. Type the From and To times.

  3. If the booking runs over several days, the Same hours every day switch is on. Turn it off to give each day its own hours.

When a booking runs over a weekend

If the dates run from weekdays over a weekend, the form asks This runs over a weekend. Choose Yes, include the weekend or No, weekdays only. The same question appears when you stretch or move a bar over a weekend.

Weekends are folded to a narrow column unless something is on them. Turn on Show weekends to see them full width.

Hand over tasks while you book

If the project has unassigned tasks on the days you're booking, the form lists them under Unassigned tasks those days. Tick any you want to give to the person you're booking. The rest stay unassigned. If you're booking several people, choose who gets each ticked task.

Move, stretch or hand over a booking

  • Move it: drag the bar to other days.

  • Make it longer or shorter: drag either end of the bar.

  • Give it to someone else: drag the bar onto their row, or click the bar and choose Hand to someone else.

  • Change its hours: zoom to Day or Week and drag the ends of a one-day booking.

Click the Undo arrow at the top of the page to take back your last change, or Redo to put it back. Ctrl+Z works too (⌘Z on a Mac).

Change or cancel a booking

Click a booking's bar to see its details: When, Hours, Status, Note and Booked by. From there:

  • Edit opens the booking form to change it.

  • Hand to someone else books someone else instead.

  • Cancel… offers Cancel today, Cancel the rest of it and Cancel the whole booking.

Copy last week

On the People view at the Week zoom, click Copy last week. The bookings from the week before are copied into the week in view, on the same days.

Someone already booked on those days, or no longer on the project, isn't copied. Bookings they said they can't make, bookings they offered themselves and days already gone aren't copied either. If nothing is left to copy, you'll see Nothing to copy from last week.

See more or fewer days

Use Day, Week and Month to zoom. Day shows the hours of each day. The arrows step back and forward, and Today brings you back to today.

What the person is told

They're sent a message when you book them, a reminder the evening before, and a nudge to clock in when they arrive. If they haven't said whether they'll be there by 17:00 the day before, they're reminded to answer and whoever made the booking is told.

What a booking's look means

  • A plain bar: Booked, not yet confirmed.

  • A tick: They said they'll be there.

  • Struck through, with can't make it: They can't make it.

  • Dashed, with a question mark: They said they'd be there — waiting on you. They offered the dates themselves. Click the bar and choose Confirm.

  • Outlined in red: they're booked somewhere else on the same days. See How to fix schedule issues.

Hatched grey Busy on someone's row means they're busy then: in their own calendar, on time off, or booked by another builder. You can still book them. You only see that they're busy, never why.

Why is the Book button greyed out?

Book stays greyed out until the form is complete:

  • Nobody has been chosen, or no project has been picked.

  • The dates run over a weekend and you haven't said whether to include it.

  • With Part of the day, the end time isn't after the start (The end must be after the start.). Hours can be set for up to 31 days at a time.

  • A subcontractor you've chosen isn't on the project yet. The form says so. Click Add to project to add them, and they're invited as usual.

Why can't I drop a booking on someone's row?

A booking can only be handed to someone who is on its project. If they aren't, you'll see … isn't on … with Add them to the project first. Open the project's Subcontractors page to add them, or use Don't see who you want? Add someone to this project at the bottom of the project's own schedule.

Why didn't my subcontractor get the booking?

Booking messages and reminders reach subcontractors once they've joined Buildscout through their invite or the project's link, and only while they're on the project. Until then, the booking is on your Schedule but they aren't told. Their card on the project's Subcontractors page shows whether they've Joined.

Why can't I book anyone on this project?

A project marked complete can be looked at but not changed. Its Schedule has no Add, no drawing or dragging bookings and no Copy last week, and complete projects aren't offered when you pick a project. Reopen the project to book people on it again.
