How to save leads into folders

Keep the planning applications worth chasing by saving them from a Planning data search into your folders, one at a time or a whole search at once.

When a planning application in your search looks worth chasing, save it into a folder. Once it's saved it's one of your leads: it shows in All leads and on the lead board, and you can star it, assign it, tag it and leave notes on it.

Save one lead

  1. Click Planning data in the sidebar and run your search.

  2. On the result you want, click the folder icon at the right of its row.

  3. Under Save to, pick one of your folders, or click Create folder & save to start one.

The icon changes to a folder with a tick. Hover over it to see which folders the lead is in.

Save a lead into more than one folder

A lead can sit in as many folders as you like.

  1. Click the folder icon on the lead's row again.

  2. Pick another folder. The folders it's already in have a tick.

To take the lead out of a folder, pick a ticked folder. To bin it from all of them, click Move to Bin from every folder (or Move to Bin when it's only in one).

Save from the application

  1. Click a result to open the application.

  2. At the top, click Save to a folder.

  3. Pick a folder, or click Create folder & save.

Once it's saved, the Folders row lists each folder it's in. Click Add to put it in another, or the cross beside a folder's name to take it out of that one.

Save a whole search at once

Save leads saves every result of your search, not just the page you can see.

  1. Run your search.

  2. Click Save leads, at the bottom of the filters or the results.

  3. To hand them all to a teammate, click Assign to nobody and pick who they're for. The menu then says Assign to and their name. They get one notification for the lot.

  4. Under the heading that counts your leads, such as Save all 34 leads to, pick a folder, or click Create folder & save.

Every lead in the folder has your teammate's name on it, ready to work through.

Make a new folder

When you click Create folder & save, type a name, such as "Hertfordshire extensions", and click Create folder. The lead goes straight into it.

Why is Save leads greyed out?

You can save up to 2,000 leads at once. If your search has more, the button is greyed out and says "Narrow the search to 2,000 leads or fewer to save them to a folder". Add a filter or make the area smaller, then try again. If the search has no results, the button doesn't show.

Why does a result say In the Bin?

Someone on your team has binned it from every folder it was in, so they've decided against it. If you save the whole search, those leads stay in the Bin, and the message after saving says how many. To save one anyway, click its icon: the menu offers Restore to the folders it came from, or Take out of the Bin into another folder.

Why does a result show a campaign's name?

It's already a lead one of your campaigns found, so it's in All leads whether or not you save it to a folder.

Why can't I add notes to an application?

Notes belong to a lead, so an application needs saving first. Until then, its Notes say "Save it to a folder to add notes for your team." Straight after a whole search is saved, a lead can say "Notes open as soon as this lead has finished saving."

Why does it say there's already a folder with that name?

Each folder needs a different name, whatever the capitals or spaces. Pick another name, or save into the folder you already have.

Why can't I save leads at all?

Folders come with Planning data. If your plan doesn't include it, Planning data shows a locked page instead of the search. Anyone on a team with Planning data can save leads and make folders.
