How to fix schedule issues

Sort out double bookings, tight drives, uncovered tasks and answers from your subcontractors, straight from the top of the Schedule.

The Schedule spots problems for you: someone booked in two places, a drive that won't fit, a task due when nobody's on site, a subcontractor who can't make it. Each one shows at the top of the Schedule with its fix right beside it.

Find the issues

  1. Click Projects in the sidebar, then Schedule. Or open a project and click Schedule in its menu.

  2. Look at the top of the page, above the timeline.

The issues are for the days in view. The first three show in full; click … more to see the rest. The number beside Schedule in the menu counts the issues this week and next.

Someone is booked in two places

The issue says, for example, Lee is booked in 2 places on Thu 8 Oct.

  1. Click Sort it out. It lists every job they're booked on that day, all ticked.

  2. Untick the job that gives the day up. The last tick can't come off, so someone always keeps the day.

  3. Click Save. The unticked booking loses that day.

To leave them on every job, keep them all ticked and click Keep both (or Keep all 3). The issue stops showing until one of the bookings changes.

You'll also be warned in the booking form before you double book someone. It shows the same ticks, so you can choose which job gets them before you click Book.

A day is tight for driving

When someone has two part-day bookings at different sites, the Schedule checks the drive between them. The issue says, for example, Gary's Fri 9 Oct is tight, with the drive and the minutes between the bookings.

Click Leave more time. The later booking opens so you can start it later or change it.

Until the drive has been looked up, the Schedule uses 30 minutes, shown as ~30 min.

Someone is busy

If you've booked someone on a day they're busy, the issue says … is busy on … (their own calendar or time off). Click Change booking to move it. You never see what they're doing, only that they're busy.

A task is due when nobody's on site

The issue says, for example, Fit the boiler is due Thu 8 Oct, but nobody's booked on site that day.

  • Click Book to book someone. If the task is assigned, the form starts with that person. If it isn't, the task comes ticked, to give to whoever you book.

  • Click Not needed on site if the task can be done without anyone there. It stops being flagged, and you can undo it from the message that appears.

A task counts as covered when the person it's assigned to, or anyone if it's unassigned, is booked on that project on one of the task's days. Done tasks are never flagged.

A delivery or inspection has nobody to meet it

The issue says, for example, Roof tiles at Re-roof on Thu 8 Oct — nobody's booked there to meet it. Click Find someone to book a person on that project for that day.

A subcontractor has answered

  • … says they'll be at … — waiting on you. They've offered dates themselves. Click Confirm and they're told.

  • … can't make … — still on the board. Click Book them again to keep the booking, or Remove to cancel it.

Hide an issue

Click the Dismiss cross beside an issue to hide it. It comes back if what it's about changes, such as the booking moving.

Why don't I see any issues on this project?

A project marked complete can't be changed, so its Schedule shows no issues and no fixes. Its bookings don't count as double bookings on other jobs either.

Why is someone shown as double booked when I only booked them once here?

The Schedule also checks their bookings on your other projects, even on a single project's schedule. Bookings they said they can't make don't count.
