How to send weekly updates automatically

Have an update written and sent to your client every week, with an hour to check it first.

Weekly updates mean your client hears from you every week without you having to remember. Buildscout writes the update from the week's work, gives you an hour to check it, then posts it on the portal and emails your clients.

Switch weekly updates on

  1. Open the project and click Client portal in the project's menu.

  2. On the Updates tab, find Send an update every week, automatically and click Set up.

  3. Under Day, pick the day it goes.

  4. Under Time it goes, pick a time between 8am and 8pm.

  5. Click Switch on.

The row then says when it goes, for example Weekly update: Fridays at 4pm.

What happens each week

  1. An hour before, the update is written from the photos, documents, finished tasks and walkthroughs since your last update. Your client can't see it yet.

  2. Whoever switched weekly updates on gets a notification to check it. On the Updates tab it's highlighted, and says what time it goes to your clients.

  3. At the time you picked, it goes on the portal and to your clients by email.

In a week when nothing happened, nothing goes.

Check, change or stop this week's update

While it's waiting:

  • Click Send now to send it straight away.

  • Click … and Edit to change it. It goes out as you leave it.

  • Click … and Don't send it, then confirm. It's deleted and nobody hears about it. Next week's is written as usual.

Change the day or switch it off

On the Updates tab, click Change on the weekly update row. Pick a new day or time and click Save, or click Switch off. Once it's off, nothing goes out unless you post it.

Why is the weekly update just a list?

On a plan with AI, the update is written in plain words and AI picks the best photos. Without AI, for example once your plan has ended, the update lists the tasks done and coming up, with the week's photos.

Why didn't an update go this week?

Nothing goes in a week when nothing happened on the job: no new photos, documents, finished tasks or walkthroughs since your last update. No update is written either if the portal is switched off, or the project is complete or archived. And it won't go if you chose Don't send it.

Why can't I set up weekly updates?

On a complete project, the Set up button isn't there. Reopen the project to switch them on.
