A campaign's letter sequence is the letters each lead gets, in order, and when each is posted. Most builders send one letter straight away and a follow-up later, often when the council approves the plans and the homeowner starts looking for a builder.
The sequence is set on the Letter sequence step, under What letters do they get? On a running campaign, open Letter sequence from the campaign's menu on the left.
Add your first letter
Click Add a letter.
In Choose a letter, pick one of your letters, or start a new one with A4 letter, A5 postcard or Upload a PDF.
Click Use this letter.
The first letter is sent Straight away: it's posted on the next sending day after a lead is approved. To wait, change it to A few days later and set the number of days.
Rather not write them yourself? While the sequence is empty, click Write my letters with AI. Choose A4 letters or A5 postcards, add your website and photos if you like, and click Write my letters. The letters are designed in the background, and the campaign can start once they're ready.
Add a follow-up
Click Add a follow-up letter.
Pick a letter and click Use this letter.
Choose when it's sent from the list beside Sent:
A few days after the last letter: type the number of days, such as 14.
When the application is approved
When the application is rejected
When a decision is made: approved or rejected.
A follow-up tied to the council's decision only goes if that decision happens.
Change the order, swap or remove a letter
Click … beside a letter and choose:
Move earlier or Move later
Use a different letter
Remove letter
Click any letter's picture to see it full size.
Save the sequence
On a new campaign the sequence saves as you go: you'll see Saving… then Saved. Click Next: Review campaign to carry on.
On a running campaign nothing changes until you click Save changes. See "How to change a running campaign" for who gets the new letters.
Why can't I click Next?
Add at least one letter: the sequence is empty.
Choose at least one person to write to: tick someone under Who do you want to write to?
Waiting for letter designs to complete: an AI letter is still being designed. Wait for it to finish.
A letter couldn't be designed: an AI letter failed. Try it again, or remove it and choose another.
0 to 180 days: the number of days must be between 0 and 180.
Why is "Use this letter" greyed out?
The letter you picked is an AI letter that's still being designed, or couldn't be designed. Pick another, or wait for it to finish.
When is a letter "approved"?
"Days after the lead is approved" means after the lead gets the go-ahead for letters: when you click Send in Review leads, or as soon as it's found if the campaign sends automatically. It's not the council's planning approval. For that, use When the application is approved.
